SECTION 01
OVERVIEW

Everything you need to know before your first match night.

The Village Pool League is a casual but competitive 8-ball pool league. Teams of five players compete weekly over a 20-week season, with playoffs deciding the season champion. VPL uses a digital system for stats, scheduling, and live match-night scoring โ€” accessible from any phone or computer.

The Two-Part System

โšก
League Portal

The main web app. Used year-round by all members for stats, standings, leaderboards, schedules, and profiles. Admins manage the whole league here.

portal.html โ†—
๐ŸŽฑ
Scorekeeper

A dedicated mobile app used only on match night. Runs attendance, draw, lag, live scoring, dual sign-off, and MVP voting. Results sync to the Portal automatically when locked.

vpl-scorecard.html โ†—
HOW THEY CONNECT

When a scorekeeper submits a match from the Scorekeeper, the result is saved automatically. The next time anyone opens the League Portal, the Match History page and the Dashboard both show the new result โ€” no manual entry needed. The portal auto-refreshes whenever you switch back to its browser tab.

TWO SCOREKEEPERS SCORE INDEPENDENTLY โ€” EVERYONE ELSE WATCHES LIVE

There's no separate "Scorekeeper" account anymore. Any active player can open the Scorekeeper for a scheduled match and take attendance. Once attendance is in, the players present pick one scorekeeper from each team โ€” those two then score the match independently on their own devices for the rest of the night, and the app compares their two records after every game, flagging anything that doesn't match so it can be caught immediately instead of after the fact. Everyone else who opens the same match sees a live, read-only view of the score as it happens. A player on either team can request to take over their own team's scorekeeper slot if it needs replacing mid-match โ€” the current scorekeeper for that side approves or declines, or can release it directly once that request comes in. See Match Night Flow for the full walkthrough.

ADMIN OR SUPERADMIN?

Season setup, Team Builder, User Management, Schedule Manager, score overrides, the Audit Log, and posting announcements all have their own walkthrough in the separate Admin Guide โ€” this manual covers what every player needs, that one covers running the league.

Passwords

Every member has a real account tied to their username. New accounts start on a role-based default password and are prompted to set their own private password the first time they log in.

FIRST LOGIN

After signing in on a default password, a "set your own password" prompt appears. You can dismiss it and finish later, but you'll see it again on every login until you set a private password. Admins can force-reset any account back to its role default from User Management if someone gets locked out.

CHANGE IT ANY TIME

My Profile has a ๐Ÿ”’ CHANGE PASSWORD button, so you're not stuck with whatever you set at first login โ€” use it whenever you want to update your password.

SECTION 02
LEAGUE RULES

The official rules used by the Scorekeeper. All scorekeepers must know these before match night.

Match Format

Each week one home team plays one away team. The match consists of five individual player-vs-player contests (one per player per team), played sequentially โ€” each contest runs to completion before the next one begins.

  • Each team fields exactly 5 players. Substitutions are handled in the attendance step.
  • Players are randomly matched to opponents via the app's draw system.
  • The draw can be reshuffled by mutual agreement before play begins.
  • The team with the higher total points across all of the night's games wins the weekly match (equal totals is a draw). Individual matchups won are still shown, but they don't decide the result.
INDIVIDUAL CONTEST FORMAT
  • Each contest is best-of-three games โ€” first to win 2 games wins the contest.
  • Players lag at the start of their contest to determine who breaks first.
  • After that, the break simply alternates each game โ€” regardless of who wins.
  • Winning a contest earns the team 1 match win.

Rules of Conduct

In an effort to promote good sportsmanship and a friendly playing atmosphere, please observe these rules of conduct when playing.

ABUSE WILL NOT BE TOLERATED
  • Physical abuse will not be tolerated and will result in the offending player's membership being suspended.
  • Verbal abuse is not acceptable and could result in the offending player's membership being suspended.
  • When a player is making a shot, remain quiet and try to be positioned back from the table and out of the line of sight.

Pace of Play

Playing too slowly or delaying the game can cause the evening to run late. The following guidelines help keep the total game time to a maximum of three hours:

KEEP THE NIGHT MOVING
  • Make the appropriate preparations if you are the next person to play โ€” have your cue ready, and pre-empt the need for a bathroom break, a smoke break, or ordering a drink.
  • Remain near the table while playing, and be ready to shoot when it's your turn.
  • Pay attention to the game.
  • Try to limit your shot time to one minute.
  • Try to limit coaching time to one minute.
  • Marking of balls, table cushions, or the playing surface is not allowed when planning a shot.
  • At least one foot must touch the floor at all times when making a shot.
  • As a courtesy, if you think your opponent is about to commit a foul (e.g. shooting the wrong suit), intervene before the shot is made to clarify the situation.
THIRD-PARTY INTERFERENCE

Third parties are not to interfere with the game. If a player has a question about a rule or the shot to be taken, it should be addressed to the opposing player first. If players cannot resolve an issue, the team captains or other designated players should be called to assist.

Scheduling & Lateness

  • A player may request to play the first match if they need to leave early.
  • A player may request to play the last match if they will be arriving late.
  • Unless it is the last match of the night, if a player is not present when their match is called, it is postponed and play moves to another scheduled match.
LAST-MATCH FORFEIT

If a player scheduled for the last match is not present when their match is called, a maximum wait of ten minutes is allowed before a forfeit score of 30 to 0 is assessed.

AGE REQUIREMENT

Players must be at least nineteen years of age because of liquor laws (L.L.B.O.).

Official Rules of Play

The official rules governing every individual game of 8-ball.

The Break

Lag (to decide who breaks): both players simultaneously shoot a ball from behind the head-string, banking it off the foot rail and back toward the head of the table. Striking the head rail is fine; touching a side rail or a pocket loses the lag; if the two balls touch each other, redo the lag. Closest to the head rail wins the choice to break. After the first game, the break alternates.

Racking: after the home team racks the balls, the breaking player gets the option to set the rack. The 8-ball goes in the center of the triangle; the front ball sits on the foot spot.

LEGAL BREAK
  • The cue ball must directly contact one of the front three balls in the rack (not off a rail first), and at least four balls must hit the rails or a ball must be pocketed โ€” otherwise the break is illegal.
  • An illegal break: re-rack, same player breaks again โ€” unless it was also a scratch or the cue ball left the table, in which case the opponent re-racks and breaks.
  • If the 8-ball is pocketed on the break, re-rack and the same player breaks again.
  • Three failed legal breaks in a row hands the break to the opponent.

Immediately After the Break

  • The table is open after the break, even if balls were pocketed.
  • Pocketed a ball on the break? Keep shooting. Pocketed nothing? Opponent shoots.
  • Scratched, or the cue ball left the table on a legal break? Opponent gets ball-in-hand behind the head-string, and may play any ball outside the head-string as the object ball. A ball dead-center on the head-string is playable. Captains settle any disagreement; a coin flip breaks a tie.

Hit one of your own suit first, and either pocket a numbered ball or send some ball into a rail. Banks, combinations, and caroms must be called โ€” though a called ball may still clip either rail attached to the pocket without that rail needing to be called separately. Sink your called ball(s) and keep shooting; miss and it's a loss of turn.

KEY TERMS
  • Kick Shot โ€” legally banking the cue ball off a rail before it contacts the object ball.
  • Frozen Ball โ€” an object ball touching (or appearing to touch) the rail; clarify before shooting. After hitting it, you must pocket it or send some ball into another rail, or it's a foul.
  • Split Shot โ€” legally hitting two of your own balls at once. If it looks close to catching an opponent's ball too, have the captains watch.
  • Safety Shot ("Just a Shot") โ€” you forfeit your next turn to the opponent even if you pocket a ball; anything pocketed stays pocketed.
  • Ball Bounces Back Out โ€” doesn't count as pocketed. For the 8-ball, it's neither a win nor a loss; for the cue ball, it's not a scratch.
  • Accidentally Moving a Ball โ€” not a foul (except the cue ball). Opponent may choose to replace any balls that moved, whether before or during the shot.

Foul Shots

Loss of turn only:

  • A numbered ball knocked to the floor โ€” spot it on the foot spot (or as close behind it as possible if taken). Anything else pocketed on the same shot stays pocketed.
  • Sinking your called ball(s) but also sinking an opponent's ball or extra balls of your own โ€” everything stays pocketed.

Loss of turn + ball-in-hand anywhere for the opponent (get their consent before touching the cue ball):

  • You scratch, or the cue ball goes to the floor.
  • The cue ball hits the opponent's ball first.
  • A frozen ball (see above) isn't pocketed or sent to another rail.
  • An illegal split shot โ€” hitting your ball and an opponent's ball at once.
  • The cue ball doesn't touch another ball (not a loss of game if the ball you missed was the 8-ball).
  • No ball hits a rail after contact, unless something was pocketed.
  • A miscue that fails to make a legal shot.
  • Accidentally moving another ball while placing the cue ball for ball-in-hand.
  • Pocketing balls while backstroking (they stay pocketed; if it's the 8-ball, replay the game).
  • A jump shot or a massรฉ shot.
  • Receiving coaching outside what the rules allow, or shooting a cue ball someone else positioned for you.

Loss of Game

  • The 8-ball is knocked to the floor.
  • The 8-ball is pocketed before you've cleared your whole suit.
  • The 8-ball is pocketed together with another ball, or in an uncalled pocket.
  • You scratch while shooting the 8-ball, or pocket an opponent's ball while shooting it.
  • You alter the course of any moving ball.

Winning the Game

Pocket every ball of your suit, then legally pocket the 8-ball. Games are played consecutively until one player wins two โ€” scoring 1 point per suit ball, 8 points for the 8-ball itself (this feeds directly into the app's point totals described below).

Definitions

  • Ball in hand โ€” place the cue ball anywhere on the table (adjustable by hand or cue after placing) and shoot any object ball, unless the more restrictive "behind the head-string" version applies.
  • Carom shot โ€” glancing one ball off another.
  • Coaching โ€” allowed once per game on object balls and once on the 8-ball, and only if the shooting player asks for it.
  • Combination shot โ€” pocketing a ball other than the object ball, both of your suit; any ball (including the 8-ball) may be used to combo into them.
  • Foot spot โ€” where the front rack ball sits, at the foot of the table.
  • Hanging ball โ€” one that's sat on the lip of a pocket for 5+ seconds before dropping in; it goes back on the table, on the foot spot.
  • Head-string โ€” the imaginary line through the centers of the second pair of diamonds from the head of the table.
  • Jump shot โ€” the cue ball hops over a blocking ball.
  • Massรฉ shot โ€” the cue ball curves around a blocking ball.
  • Miscue โ€” the cue tip glances off the cue ball instead of striking it squarely, sending it off course.
  • Object ball โ€” whichever ball you're aiming the cue ball at.
  • Open table โ€” no suit assigned yet; the shooter has their choice.
  • Scratch โ€” pocketing the cue ball or driving it off the table.
  • Suits โ€” stripes (high balls) and solids (low balls).
DISPUTES

Ask your opponent first. If you can't agree, call in the team captains โ€” their decision is final. See Handling Disputes in the Scorekeeper Guide for what to do once a match is already underway on the Scorekeeper.

Scoring Rules

HOW A GAME IS SCORED
  • There are 7 object balls and the 8-ball per game.
  • Winner always gets 15 points, regardless of how many balls they sank.
  • Loser gets 1 point per ball they sank (0โ€“7 points).
  • Win by sinking the 8-ball after all 7 of your balls are cleared.
  • If a player fouls on the 8-ball, the opponent wins and gets 15 points. The fouling player keeps only their ball count.

Example Game

SINKS 8-BALL ยท WINS
Roland L.
vs
SANK 4 BALLS ยท LOSES
Wayne
15
ROLAND'S SCORE
4
WAYNE'S SCORE
WHY 15 POINTS?

The winner always earns 15 regardless of how efficiently they played. This keeps individual averages meaningful as a pure performance measure, while the loser's ball count serves as a secondary ranking tiebreaker.

How Rankings Work

Individual players are ranked in this exact priority order:

  1. Average โ€” total points รท games played (descending)
  2. Games Played โ€” more games ranks higher on tied average (descending)
  3. Win Percentage โ€” games won รท games played (descending)
  4. Points For โ€” total accumulated points (descending)
  5. Points Against โ€” total opponent points (ascending โ€” lower is better)

Team standings use the same logic applied to the team's combined totals.

Spares & Substitutions

SECTION 04
SCORING GUIDE

The most important job on match night. Read this section carefully before your first time running the scorecard.

Responsibilities

Each match has two scorekeepers โ€” one from each team. You are jointly responsible for:

  • Taking attendance and handling substitutions before the draw
  • Confirming the random player draw, computed once and shared to both devices โ€” reshuffle or manually adjust it if needed
  • Recording the lag result for each of the five contests
  • Recording each game's winner and how many balls the loser sank
  • Cross-checking results with the opposing scorekeeper after all five contests
  • Nominating the MVP from the opposing team
  • Jointly locking and submitting the match
BOTH SCOREKEEPERS MUST CONFIRM

Each scorekeeper confirms and picks their MVP independently on their own device. The match locks and submits automatically the moment both have confirmed โ€” there's no separate submit button. If there is a discrepancy, use the EDIT button at Sign-off to re-pick the specific game that's wrong before confirming.

Match Night Flow

Open vpl-scorecard.html on your device and pick the two teams and the date. Whoever gets there first takes attendance; once it's in, the players present pick one scorekeeper from each team. Both of those two players then run the rest of the match โ€” attendance, the draw, and scoring โ€” independently, each on their own device. Anyone else who opens the same match sees a live, read-only view instead, with a button to request taking over their own team's scorekeeper slot (that side's current scorekeeper approves or declines). The app walks each scorekeeper through five phases on their own screen:

1
SETUP
Teams + date
2
ATTEND
Attendance
3
DRAW
Matchups
4
PLAY
Lag + scoring
5
SIGN-OFF
Confirm + MVP
DRAW OVERRIDE

The draw screen shows the random pairing before either scorekeeper begins scoring. โ†บ RESHUFFLE draws again at random. โœŽ EDIT MATCHUPS switches to a manual view with โ–ฒโ–ผ arrows next to each player โ€” move a name up or down to change who they're paired against and which match number they're playing. Either scorekeeper can do this (or an admin); it's shared to both devices the same way the rest of the draw is. Once BEGIN MATCH is tapped, the pairing is locked in for both sides.

Phase 2 โ€” Attendance, Substitutions & Payments

  1. Mark absent players
Both teams' rosters appear side by side. All default to IN. Tap OUT for anyone not present.
  2. Choose a replacement for each absence
For each absent player choose PICK SPARE (select from the spare pool dropdown) or DOUBLE UP (select a teammate who will play twice). Proceed is locked until every absence is covered.
  3. Check off match fee payments
Each roster slot shows a gold-tinted ๐Ÿ’ต paid match fee checkbox next to the player name. Tick it as you collect the fee. The "payer" is the person actually playing โ€” if a spare replaces someone, the spare pays; if a teammate doubles up, they pay for their own slot (the absent player does not). A running X / Y fees collected tally appears below the roster; all-paid turns green. Payments are optional โ€” you can proceed to the draw with some fees still uncollected.
  4. Review the summary, then proceed
A green confirmation lists all substitutions. If all players are present, a "no substitutions needed" message appears. The payment tally is shown separately. Tap PROCEED TO DRAW.
PAYMENT TRACKING

The paid status for every slot is submitted with the match and appears on the portal's Match History cards ("๐Ÿ’ต MATCH FEES โ€” 8/10 ยท 2 UNPAID"). Admins can export a full payment ledger as CSV from the Data Migration panel for treasury reconciliation.

Phase 4a โ€” The Lag

Before each contest, both players simultaneously shoot the cue ball the length of the table and back. The player whose cue ball comes to rest closest to the head rail wins the lag and may choose to break or pass.

In the app, the lag screen appears automatically before each of the five contests. Tap the name of the player who wins the lag โ€” they are recorded as the breaker for Game 1.

THE BREAK ALTERNATES

The lag winner breaks Game 1. After that, the break simply alternates โ€” the lag loser breaks Game 2, and if there's a Game 3, it goes back to the lag winner โ€” regardless of who actually won the previous game. The app tracks this automatically โ€” you only enter the lag winner once at the start of each contest.

Phase 4b โ€” Live Scoring

Once the game itself is finished at the table, record it on the scoring screen in two taps: pick which player won, then enter how many balls the loser sank (0โ€“7) โ€” including a win where the opponent fouled on the 8-ball, since that's scored exactly the same way. The winner's score is always 15, so nothing more to enter there. Recording a game moves straight to the next one automatically; once someone reaches 2 games won, the match-won screen appears.

CHANGED YOUR MIND?

Before you enter the loser's ball count, "โ† Change winner" backs out of that pick. Once a game's recorded, it's part of the record โ€” use Sign-off's EDIT button afterward if it needs correcting (see Handling Score Mismatches below).

Phase 5 โ€” Sign-Off, Confirmation & MVP

Since each scorekeeper has been playing on their own device, sign-off is where the two records get checked against each other before anything is locked in.

  1. Review your own results and team totals
Your sign-off screen shows the full results table, match score, and team totals as recorded on your device. If a game mismatch banner is showing, compare with the other scorekeeper before confirming โ€” see below.
  2. Edit anything that's wrong
Each row has an EDIT button. Tap it, tap the correct winner for the specific game that's wrong, and enter the loser's balls again โ€” it applies immediately, no need to re-lag or replay the rest of the contest.
  3. Nominate the opposing team's MVP
Home SK selects MVP from the Away team; Away SK selects from the Home team โ€” each on their own device.
  4. Tap CONFIRM
Disabled until your own record has no unresolved mismatches and your MVP pick is made. Your screen shows "waiting on the other side" until the other scorekeeper also confirms on their device.
  5. Submission happens automatically
Once both scorekeepers have confirmed, the match locks and submits to the League Portal on its own โ€” no separate submit button. Whichever device was running as the away side simply follows along and lands on the same "match locked" screen.

Handling Score Mismatches & Disputes

Because both scorekeepers score independently, the app checks their two records against each other after every completed game โ€” not just at the end. If they disagree, a warning banner appears naming the specific match and game and showing both recorded scores. The banner doesn't block you from continuing to the next match โ€” it's a heads-up, and the actual fix lives at Sign-off.

  1. Both scorekeepers compare their devices and agree on the correct result.
  2. Once the match is done, whichever scorekeeper has it wrong taps EDIT on that match row at Sign-off, picks the correct winner for the specific game that's off, and enters the loser's balls again.
  3. The fix applies right away โ€” no waiting on the other device, and no need to redo any other game in that contest.
  4. If no consensus is possible on match night, leave a note and contact the Admin for an override after submission.
DO NOT CONFIRM WITH ERRORS

Confirming is disabled while a mismatch is outstanding, but it's still on both scorekeepers to actually compare and agree before confirming โ€” the app can only catch that the numbers differ, not which one is right. Once a match is submitted, correcting it requires an Admin Override, which creates a permanent audit log entry.

SECTION 05
END OF SEASON

Playoffs, awards, and rolling over to the next season.

Playoffs

The top 6 teams advance after the regular season. The top 2 teams receive first-round BYEs. The format is two-round single-elimination. Playoff scoring is identical to regular season โ€” five sequential contests, full scorecard flow.

Season Awards

  • Top 10 Players โ€” ranked by final season average
  • Team MVPs โ€” most nominations per team
  • Rookie of the Year โ€” best average among first-season players
  • Top Spare Player โ€” best average among spare players
  • Spirit Award โ€” one for regular players, one for spares
  • Most Improved โ€” largest positive average change vs previous season
  • Top Regular Season Team โ€” best win percentage

Season Rollover

The Admin marks the current season complete in League Config. All stats are permanently archived as lifetime data. A new season is then created โ€” rosters reset, schedule regenerates, season stats start from zero. Lifetime stats accumulate automatically.

LIFETIME STATS ARE AUTOMATIC

As long as player accounts stay linked across seasons, the portal calculates career averages, wins, and points by summing all historical records. No manual migration needed.

SECTION 06
FAQ

What if I record a game wrong?

Before you tap the loser's ball count, "โ† Change winner" backs out and lets you re-pick. If you've already moved on, fix it from Sign-off's EDIT button once the match is done โ€” pick the correct winner for that specific game and re-enter the loser's balls, no need to redo the rest of the contest. You cannot fix it at all after the match is locked โ€” contact your Admin for an override if needed.

Can other people watch on their own device while a match is being scored?

Yes โ€” anyone who opens the Scorekeeper for a match that already has both scorekeepers assigned sees a live, read-only view instead of the Setup screen: each team's scorekeeper name, whether their two records agree so far, and how many games differ if they don't. If a side's scorekeeper slot isn't claimed yet, an eligible player on that team sees a CLAIM THIS SLOT button there instead. If it's already claimed by someone else, eligible teammates see a REQUEST TAKEOVER button โ€” the current scorekeeper for that side gets a prompt to approve or decline, plus a one-tap Release button as an alternative to approving. Only the two actual scorekeepers can enter scores; everyone else stays in the live, read-only view until they take over a slot.

What if a player refuses the lag result?

Both scorekeepers observe the lag together. If there is genuine uncertainty, a re-lag is the fairest option โ€” this is at the scorekeepers' discretion. The scorekeeper records whichever result both parties accept.

What if the app crashes mid-match?

The app autosaves your progress on that device as you score. A refresh or an accidental tab close recovers exactly where you left off โ€” you don't need to re-enter anything. Only the final locked submission is written to the shared league database; everything before that point is a local save on the device you're using.

Can I change my MVP nomination after submitting?

MVP nominations are final once locked. If entered incorrectly, contact an Admin for an override with a correction note.

Where do submitted results appear?

Once a match is locked, the result is saved to the shared league database immediately โ€” it's visible to everyone, on any device, the next time they load the portal. The Dashboard and Match History both also auto-refresh whenever you switch back to that browser tab.

What if one of the scorekeepers has to leave mid-match?

A teammate taps Request Takeover from their own device; the leaving scorekeeper gets a prompt to approve or decline it, and control transfers immediately on approval. A ๐Ÿšช RELEASE MATCH button also appears on the leaving scorekeeper's screen the moment that request comes in, as a one-tap alternative to the approve prompt. The button only shows up once someone has actually requested to take over โ€” there's no standing way to release a side with nobody lined up to receive it. Nothing already scored is lost either way, and the other team's scorekeeper isn't affected.

Who can run the scorecard?

Any active player can open the app and take attendance. From there, one scorekeeper per team is picked from the players present โ€” only those two get edit access for the rest of the match, each on their own device. Everyone else, including teammates who weren't picked, sees a live read-only view.
